Perform contract closeouts independently, able to interpret contract terms and conditions, able to perform reconciliations, and able to physically go through boxed inventory and locate pertinent documentation. Performs the closeout of more complex actions including T&M type contracts and other contracts with cost elements. Meets and/or exceeds monthly goal of contracts expected to close. Conducts research of contract/task order related information. Prepares contract correspondence. Maintains and prepares contract files for closeout.



Position Requirements:


·    Bachelor’s Degree OR 8 years’ experience

·    Minimum 5 years of acquisition experience (including supervisory or management experience)

·    2 years’ experience must be in project management duties

·    3 years’ experience with government contracting with two (2) or more of those years closing government contracts

·    Demonstrated experience in PRISM and FFMS

·    Knowledge of Federal and agency laws, regulations, and procedures applicable to the acquisition process and to the award and administration of contracts

·    Knowledge of and experience with various contract types, to include but not limited to, Indefinite Delivery Indefinite Quantity contracts, Cost Reimbursement Contracts, and Fixed-Price contracts

·    An advanced knowledge of the closeout of various contract types including FFP and


·    Knowledge of financial and contract/procurement systems

·    Must be able to read and interpret contract terms and conditions

·    Must be able to perform moderate to complex reconciliations

·    Ability to serve as a member of a contract closeout team

·    Ability to meet monthly closeout goals

·    Strong MS Office skills (including Word, Excel, and PowerPoint)

We are looking for a talented and dynamic Administrative Specialist to join our growing team!


The Administrative Specialist will:

  • Provide support to the Chief, Program Support Division, and INL/A staff, as directed
  • Perform duties of the Director's Office Administrator in his/her absence
  • Update and maintain the INL/A SharePoint site
  • Process and maintain time and attendance data for INL/A
  • Maintain database of current contractor security clearance status and Visitor Authorization Requests
  • Provide general meeting coordination support including scheduling of conference rooms, sending invites, recording meeting minutes, and capturing/tracking status of action items
  • Supporting technical data analysis efforts, including data mining and development of reporting/presentation materials
  • Coordinate all incoming mail and requests for information, cable clearances and briefings to the appropriate action officers for disposition
  • Compose routine-to-complex correspondence autonomously, based on knowledge of the views and desires of the Division Chief. Typical subjects include administrative matters, letters of acknowledgment, general office and Office of Aviation policies, acceptance of invitations, and cancellation of conferences.
  • Maintain the tracking system for all inbound and outbound actions/suspense items (i.e., Technical Directives, statements of work, work assignments, etc.) for INL/A
  • Review out-going correspondence for compliance with established procedures, regulations, grammar, format, and special policies of INL/A.
  • Conduct research, records retrieval, and filing for staff members.
  • Administer requests for information concerning INL/A programs: research, retrieve, and assemble information or follow-up to ensure that staff members submit required answers within the specified time
  • Receive and make proper disposition of incoming telephone calls; taking appropriate steps to ensure action is taken
  • Submit country clearance requirements for USG and contractor personnel to appropriate US Embassy; coordinating with Embassy staff to resolve clearance issues
  • Provide administrative support to staff in INL/A-supported countries as required
  • Arrange travel for CONUS and OCONUS locations using E2 System; arranging schedules, making transportation and hotel reservations, notifying organizations and officials of visit, keeping in touch with the staff while on travel, and submitting travel vouchers and reports.
  • Maintain central file system in accordance with DOS and INL/A files maintenance policies and procedures. Coordinating filing activities with the Director's Office Administrator to ensure continuity of records.
